AI Usage Policy

1. Purpose
Digital 3000 uses artificial intelligence (AI), automation technologies and large language models to support business analysis, reporting, content creation, automation, research and service delivery.
This Policy establishes the principles governing the responsible, secure and ethical use of AI within Digital 3000.
This Policy applies to all employees, contractors, consultants and third-party providers acting on behalf of Digital 3000 Ltd.

All outputs remain subject to human review.
4. Prohibited Uses
The following activities are prohibited:
- Generating fraudulent, misleading or deceptive content
- Circumventing security controls
- Unauthorised automated decision-making
- Uploading confidential information into unapproved AI systems
- Violating intellectual property rights
- Creating discriminatory, offensive or unlawful content
- Using AI in a manner inconsistent with client agreements or legal obligations
5. Client Data and Confidentiality
Digital 3000 recognises its obligations to protect confidential and personal information.
Users must not submit the following information to public AI systems unless authorised and appropriate safeguards are in place:
- Personal data
- Special category data
- Financial information
- Employee records
- Client confidential information
- Proprietary business information
- Non-public contracts
- Security credentials
Where AI systems are used in client work, information should be anonymised or minimised wherever reasonably possible.
6. Human Oversight
AI-generated outputs may contain inaccuracies, omissions, bias or outdated information.
All AI-generated content must be reviewed by a human before:
- Publication
- Client delivery
- Business decision-making
- External communication
Responsibility for final decisions remains with the individual using the information.

Digital 3000 may use AI-assisted technologies to support:

AI-generated outputs form part of a wider assessment process and do not replace professional judgement, consultation or independent decision-making.
8. Intellectual Property

AI-generated content must not knowingly:

- Misappropriate trademarks
- Reproduce proprietary materials without permission
Digital 3000 reserves all rights relating to its methodologies, frameworks, assessments and proprietary intellectual property.

Only AI technologies that have been assessed and approved by Digital 3000 may be used for business purposes.

Failure to comply may result in access restrictions, corrective action, contractual remedies or termination of engagement where appropriate.
